Self-service analytics gets sold as liberation: give business users direct access to explore data, and they'll stop waiting on the reporting team's backlog. That's true, as far as it goes. What the pitch usually leaves out is what happens six months later, when fifteen people have each built their own version of "customer churn" and none of them match.
Freedom needs a floor underneath it
The organisations that get self-service right don't give business users unrestricted access to raw data. They give them curated, governed datasets โ data marts built specifically for exploration, where the definitions are already correct and the joins are already sensible. The freedom is in what questions people can ask, not in reinventing the underlying data model every time someone opens a new workbook.
This distinction matters enormously in practice. Unrestricted access feels generous on day one and becomes unmanageable by month three. Curated access feels slightly more restrictive on day one and is what makes self-service sustainable at all.
Draw a clear line between certified and exploratory
The other piece that's easy to skip is labelling. A dashboard that's been through proper review and sits on the governed semantic layer should look and feel different from an ad-hoc exploration someone put together this afternoon. When those two things are visually indistinguishable, people start treating exploratory work as if it were certified, and that's how bad numbers end up in a board pack.
A simple visual or naming convention โ "Certified" versus "Personal workspace" โ does most of the work here. It doesn't stop anyone exploring. It just makes clear what they're looking at.
Training is part of the deliverable, not an afterthought
Self-service tools are more approachable than they used to be, but "approachable" isn't the same as "intuitive for someone who's never built a visual before." A short, practical training session โ specific to the actual data marts people will be using, not a generic vendor tutorial โ is usually the difference between a self-service rollout that gets used and one that quietly reverts to everyone emailing the analytics team anyway.
